Information we collect
- Information you give us — your name, email address, phone number, company, and the contents of any message when you book a consultation, email us, or submit a form.
- Billing information — where you engage our services, the details needed to process payment by bank transfer (e.g. account name and reference). We do not store full banking credentials on our website.
- Information collected automatically — IP address, browser and device type, referring pages and interactions, gathered through server logs, cookies and analytics for security and improvement.
We do not knowingly collect sensitive personal data, and we never sell your personal data.
How we use your information
- To respond to your enquiries and provide the services you request.
- To operate, maintain, secure and improve our website and offerings.
- To process payments and maintain accurate business and accounting records.
- To communicate with you about projects and proposals, and — only with your consent — send marketing or updates.
- To comply with applicable law and protect against fraud or misuse.
Our lawful basis (DPDP Act & IT Act)
Under the DPDP Act, 2023 we process your personal data on the basis of:
- Your consent — freely given, specific and informed (e.g. when you submit a form or opt in to marketing). You may withdraw it at any time.
- Certain legitimate uses permitted by the Act — for example, where you voluntarily provide data for a purpose, and to meet legal obligations.
We also handle data in accordance with the Information Technology Act, 2000 and the IT (Reasonable Security Practices and Sensitive Personal Data or Information) Rules, 2011.
Cookies & analytics
Our website uses cookies. Essential cookies are required for the site to function. Analytics and marketing cookies are set to help us understand performance and reach the right audiences — including tools from Google (e.g. Google Analytics / Google Ads) and Meta (e.g. the Meta Pixel).
You can withdraw consent or clear cookies at any time through your browser settings; doing so may affect some features.
Sharing & data processors
We share data only with trusted service providers (“Data Processors”) who help us run our business, under contracts requiring them to protect your data and use it only on our instructions:
- Squarespace — website hosting and infrastructure.
- Google Workspace — business email and productivity.
- Google & Meta — analytics and advertising.
We may also disclose data where required by law or by a competent authority. We do not sell or rent your personal data to third parties.
Where your data is stored
Your data is primarily hosted on servers located in India. Some of our service providers (such as Google and Meta) may process limited data outside India. Where that happens, we rely on those providers' contractual safeguards, and on transfers permitted under the DPDP Act and applicable Government of India notifications.
Data retention
We keep personal data only for as long as necessary for the purposes set out above, to maintain our client relationship, or to meet legal, tax and accounting obligations. When data is no longer required, it is securely deleted or anonymised.
Your rights as a Data Principal
Under the DPDP Act, 2023 you (the “Data Principal”) have the right to:
- Access a summary of the personal data we process about you.
- Correction & updating of inaccurate or incomplete data.
- Erasure of your personal data where it is no longer needed.
- Grievance redressal through our Grievance Officer (see below).
- Nominate another individual to exercise your rights in case of death or incapacity.
- Withdraw consent at any time, without affecting processing already carried out.
To exercise any right, email admin@visionx-ai.com. We respond within the timeframes required by law.

Data security

No method of transmission over the internet is ever fully secure, but we work continuously to safeguard your information.
Children's data
Our website and services are intended for businesses and adults. In line with the DPDP Act, we do not knowingly process the personal data of children under 18 without verifiable consent of a parent or lawful guardian, and we do not undertake tracking, behavioural monitoring or targeted advertising directed at children. To exercise these, email admin@visionx-ai.com and we will assist.
